Position – Receptionist/Secretary

PRIMARY OBJECTIVES:

(1) To attend to visitors and deal with inquiries on the telephone and face to face.

(2) To supply information regarding the Authority and provide assistance to the general public, clients and customers.

(3) To provide secretarial and clerical services to the organization.

 

QUALIFICATIONS AND EXPERIENCE REQUIRED:

(1) A minimum of a Diploma in Business Administration, Office Procedures or Office Management

(2) A minimum of two (2) years corporate experience working as a Receptionist / Secretary

(3) Professional qualification in office procedures.

 

SKILLS AND ATTRIBUTES REQUIRED:

· Excellent oral and written communication skills;

· Excellent customer service skills;

· Office procedures;

· IT applications for office operation;

· Basic knowledge of Civil Aviation Regulations (CARs);

· Excellent coordinating skills;

· Ability to be flexible and adapt to working in a dynamic, fast paced environment

SUMMARY OF KEY DUTIES AND RESPONSIBILITIES:

· To receive, register, sort and deliver all incoming and outgoing mail and deliveries;

  • To answer telephone, screen and direct calls;
  • To deal with queries from the public, customers and external agencies;
  • To record and relay messages;
  • To receive and direct clients and other members of the public accordingly;
  • To prepare draft responses to routine official tasks;
  • To assist with making international calls;
  • To maintain the Authority’s internal telephone directory;
  • To assist in the amendment of documents and journals;
  • To prepare local purchase orders;
  • To provide general secretarial and clerical support within the Authority;
  • To assist in the maintenance of the filing system for assigned departments;
  • To sends facsimile, telex, and email messages and photocopies and collate documents as instructed;
  • To perform word processing and other data entry functions as assigned;
  • To ensure knowledge of staff movements in and out of the Authority;
  • To assist in preparation for conferences/meetings conducted by or held at the Authority;
  • To ensure that the reception area is kept clean and aesthetically pleasing;
  • To carry out such other related duties as may be assigned from time to time.
